Job Title:             Assistant, Retail Marketing & Publicity

Department(s):    Publicity  

Reports to:           Publicity Manager 

Status:                 Regular Full Time

Location:              22 Adelaide Street West, Toronto (hybrid model) 

 

Assists sales, marketing and publicity with routine event focused tasks cross functionally and oversees backend office functions including event administration, mailings. Creates and executes publicity campaigns for authors.

Responsibilities

Primary Responsibilities:

 

Administrative Event Support (All departments)

  • Maintain publicity events grid
  • Update weekly events listings for social channels & website
  • Liaise with sales to input event stock orders
  • Liaise with publicity and sales to input event postmortem numbers
  • Liaise with sales with author tour information
  • Create and send out monthly external events newsletter
  • Create and send out seasonal author tour newsletters to event partners

Retail Marketing Support

  • Assist with Outreach to Indigo, our largest retailer
  • Supports CIBA presentations
  • Assists with Indigo Product Knowledge tour coordination
  • Aid with marketing event coordination and set-up ex. Fan Expo, WOTS, OLA
  • Aid with author coordination for marketing events
  • Management of weekly Indie Connect Newsletter

Manages Advanced Reading Editions

  • Tracks and distributes ARCs across sales, marketing and publicity
  • Strategizes and manages costing

Marketing & Publicity Internship Management

  • Interview & hire M&P internship candidates with publicity assistant
  • Manage marketing & publicity intern and coordination of tasks & workload

Title Publicity

  • Operate as primary point-of-contact for all author communication
  • Create press materials, including:
    • Press releases
    • Pitch letters
    • Interview topics/questions
  • Pitch and secure media for books/authors, including:
    • Reviews in major publications
    • Interviews in regional and national print and broadcast outlets
    • Original pieces in major publications
    • Negotiate excerpts in major publications
    • Inclusion on holiday/must-read/themed lists
    • Offers authors as experts for trending media stories
  • Plan and manage author tours, including:
    • Pitching events with booksellers and event series across the country
    • Planning and executing multi-city tours for authors
    • Budgets and books, all travel and accommodation
    • Preparing detailed schedules for authors
    • Escorts authors to major media & event outings
  • Develop and maintain relationships with:
    • Media, booksellers, literary festivals, agents

 Secondary Responsibilities:

  • Find new media and event opportunities
  • Look for media opportunities for authors between books

Qualifications

Experience: 

  • Internship in publishing industry

Knowledge, Skills, Strengths:

  • High degree of written and verbal communication skills
  • Able to multi-task, determine priorities, and remain cool under pressure
  • Excellent organizational abilities

Education/Formal Training:

  • Book publishing courses or certificate an asset
  • Drivers License an asset
